What is Proxy User and Why is It Important for Performance Management?

Proxy user is a feature that allows to assign another user as a proxy to sign into the system and perform tasks on your behalf, i.e., to access and operate as if they were logged in as yourself.

Proxy is normally used when for some reason one can’t deal with their tasks in person through a specific period. During that time, proxies have unlimited access to that user’s account data and permission for all the features, including the same menus and modules. However, it is possible to limit what proxies are allowed to access and change, as well as to track anything they do while acting on behalf of another user.

If you want to understand better how proxy feature works, you just need to know a few basic things:

• Proxy defines a relationship between two people — an account holder and a proxy.
• You can give certain proxy rights for each proxy assignment. Proxy rights determine which specific areas of the system a proxy is allowed to access.
• You can control who’s allowed to manage proxy assignments.
• You can pick a start time or end time for proxy assignments, if necessary.

Why is this feature important?

Most companies use proxy access to make sure that important business processes aren’t interrupted or affected in any negative way by an employee’s absence. For example, if they are unavailable or absent, a designated proxy can complete the necessary work tasks on the employee’s behalf. Also, proxy management is essential for troubleshooting and testing. You can use proxy access to test how the system behaves for different users, without manually logging in and out of different user accounts.

Basically, proxy access gives a broad access to someone’s user account. With proxy rights, an assigned proxy user can see the same information and take the same actions as the account holder. However, keep in mind that a proxy may even have access to confidential personal data, such as a national ID, or to other private information.

What Can Proxy Assignment Do for Performance Management?

The daily activities at any organization, whether it’s a big enterprise or a fast-growing start-up, can be very challenging. One moment you’re on a demo call, next you’re writing a blog post or dealing with cold emailing, then you suddenly realize that at the same time you must finalize performance evaluation of your employees. And all of this right before your long-awaited annual leave…This is when proxy comes to the rescue. You can entrust your task management process to one of your colleagues who you trust and who can do it well in order not to slow down or prevent performance progress.

For example, Jack, the marketing director, is going on vacation. One of his managers Jane is assigned to act on his behalf. So, Jane becomes the proxy. John has been working hard on on-one-meeting period with his team and the process is still in progress. As a proxy, Jane can act on John’s behalf in this task. Convenient, right?

So, Jane logs into Twiser performance management software to perform tasks on behalf of Jack. She can implement multiple actions from holding one-on-one meetings with the team to publishing meeting comments. If required, she can also delete one-on-one period. No matter what she does, Jack will get notifications about all the updates as the “original” user.

A few important notes, though.

• You should assign a proxy for a specific purpose, such as moving a specific business process forward or troubleshooting a specific issue.
• You should assign a proxy who has a close working relationship with the account holder and only uses proxy rights when required.
• You should check the existing proxy assignments from time-to-time. Remove questionable proxy assignments or consult with the account holder to see if it’s still needed.

With these three simple rules your proxy assignment and usage experience will be both helpful and enjoyable.
